When you run a WordPress site for a long time, you may suddenly realize that your old posts have grown to 1,000, 2,000, or even 3,000 articles.
That in itself is a great thing, but at the same time, it often leads to a breakdown in tag management.
For example,
・30, 50, or even 100 tags are attached to a single post
・Tags from old plugins or bulk actions have been added unintentionally in large numbers
・As multiple people edit the site, tag usage becomes inconsistent
・Similar tags, inconsistent wording, and duplicate tags have increased
・It is no longer realistic to fix everything manually, one post at a time
You may be dealing with exactly this kind of problem.
In fact, this is not just a matter of having “too many tags.”
When tags become excessive, not only does the workload in the admin area increase, but site-wide categorization becomes harder to understand, unnecessary tag archives increase, and organizing old posts becomes even more difficult.
And on sites with a large number of posts, it is not easy to straighten things out later.
What looks like it could be solved with an existing WordPress plugin, but is actually difficult
At times like this, the first thing many people think is, “Can’t I just solve this with an existing plugin?”
I checked as well, and there are indeed plugins that help with organizing tags and taxonomies.
For example, some are strong at managing terms such as tags and categories, some can merge or move terms, and some make bulk editing easier in a list view.
However, the real issue here is the essence of the problem.
What is really troublesome is not simply editing tags, but rather,
・extracting only posts with too many tags based on conditions
・working only on that extracted set of posts
・checking carefully while keeping things safe
・organizing them all at once
I did not find an existing plugin that could be used as-is for that full workflow, at least within the scope I checked.
There are plugins that can do something similar, but
・they can merge or delete tags themselves
・they make bulk editing in lists easier
・they improve term management
On the other hand,
・extracting only posts with a certain number of tags or more
・processing only those posts
・checking differences before and after processing
・safely organizing in bulk according to operational conditions
Plugins that cover the full, practical workflow people actually want are quite limited.
So if there is no existing plugin, does that mean it cannot be solved?
Not at all.
In fact, cases like this are exactly why it is important to think through an organization method that fits the situation, since there is no off-the-shelf product that matches perfectly.
For example, in real-world work, the following approach is practical:
・First, extract which posts are problematic using conditions
・Check how tags are currently assigned
・Organize unnecessary tags, duplicate tags, and inconsistent wording
・If needed, decide which tags should be kept for each post
・Apply the changes in bulk while checking carefully
What matters here is not trying to review every post manually from the start, one by one.
When you have a large number of posts, being able to narrow down which posts are in scope first makes a huge difference in efficiency.
The tag overload problem differs greatly from site to site
That said, what makes this issue difficult is that the assumptions vary widely depending on the site.
For example,
・How many posts are there?
・Is it only regular posts, or are there custom post types as well?
・Are only some posts overloaded with tags, or is it a site-wide issue?
・Do you only want to reduce tags, or do you want to reorganize the entire tag structure?
・Do you want to establish future operational rules as well?
・Are there compatibility concerns with existing themes or plugins?
The appropriate method changes depending on these conditions.
In other words, this is not a case where “install this plugin and everyone solves it the same way.”
The realistic approach is to design an organization method after hearing the situation
For this kind of problem, it is usually less likely to fail if you first confirm the situation and then decide:
・How much to automate
・Which conditions to use when extracting posts
・At what unit to process them
・What should be checked by a person
・How much safety protection to include
If an existing plugin does not fit well, it is perfectly realistic to prepare a dedicated plugin or support tool that can perform the necessary processing according to the site’s situation.
If you have concerns like these, please get in touch
If you have concerns such as:
・There are so many old posts that manual tag cleanup cannot keep up
・You accidentally added a large number of tags
・You looked for an existing plugin but could not find the features you need
・You want to organize things safely while checking them carefully
・You want to proceed in a way that fits your company site or owned media
we can discuss your situation and suggest a suitable approach.
Depending on the details, we can also create a dedicated WordPress plugin after organizing the required functionality.
Of course, since this kind of work is handled individually according to your site structure and requirements, it will be offered as a paid service, but you are welcome to consult us even at the stage of asking, “Can this kind of organization be done?” or “Can the current state be improved?”
We also support custom WordPress plugin development
If existing plugins cannot fully handle the task, or if you want to organize things safely according to your site’s situation, we can listen to your needs and create a custom WordPress plugin with the necessary features on an individual basis.
For example, if you need:
・To extract only posts with at least a certain number of tags
・To bulk organize only the target posts while checking them
・To process things according to existing operational rules
・To proceed as safely as possible
・To include work logs and verification features
we can propose an approach tailored to your site’s situation.
It is okay even if you are only at the stage of wanting to know, “Can this be done?” or “Can this still be organized in its current state?”
After reviewing the situation, we will let you know about paid individual support if needed.
Summary
When a large number of tags have ended up attached to a large number of WordPress posts, the biggest problem is that manual work alone cannot fix it.
There are existing plugins for tag management, but within the scope I checked, I could not find one that directly handles the practical need of “extract posts with too many tags and safely organize only those posts.”
That does not mean it cannot be solved.
The important thing is to organize the current situation, identify the necessary conditions, and move forward with an approach that fits the site.
If you have a similar concern, we can review your situation and suggest a realistic way forward.
